This information is intended to inform you about the privacy policy (processing of personal data) used on the website and in general in accordance with the General Data Protection Regulation ('GDPR') which has been in force since 25 May 2018. The privacy statement should be read together with our policy regarding the use of Cookies and the website disclaimer.
The processing of personal data
Expand collects, registers and processes personal data of customers, candidates and users of our services.
What is personal data? Any information relating to an identified or identifiable natural person ('data subject'); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person; (Art. 4, 1) GDPR)
Which data? Expand processes your personal data because you use our services and/or because you provide them to us yourself. Further in the privacy statement, we list what data is collected and for what purposes.
Special and/or sensitive personal data that we process? Our website and/or service does not intend to collect data about website visitors who are younger than 16 years of age, unless they have permission from parents or a guardian. However, we cannot check whether a visitor is older than 16. We therefore advise parents to be involved in the online activities of their children, in order to prevent data about children from being collected without parental consent. If you are convinced that we have collected personal data about a minor without that consent, please contact us at admin@expand.consulting and we will delete this information immediately.
Why are your data processed?
Expand will require various forms of information, documentation and also personal data for the proper performance of its services.
This personal data is only processed within the framework of the assignments entrusted to our office.
Other data is collected automatically through 'cookies' and other systems that gather information. More information about this can be found in our cookie policy.
Anyone who provides their personal data to Expand guarantees that this data is correct, complete and up-to-date. Providing incorrect data means that Expand cannot perform its services properly and may lead to a termination of the cooperation.
Our office processes the personal data listed below for the purposes specified:
Customer management and service delivery For the purpose of providing our services, we may process your personal identification data (name, (company) address, email address, telephone number), government-issued identification data (identity card number, passport number, driver's license number, company registration number, VAT number...), financial data (bank account number, method of payment), and personal characteristics (date of birth, place of birth, gender, language, nationality). We may also process other personal data that you share with us. In this context, we do not process sensitive personal data (e.g. personal data revealing your racial or ethnic origin, political opinions, religious or philosophical beliefs or trade union membership, genetic data, biometric data, data concerning your health or data concerning your sex life or sexual orientation)
This data allows us to carry out our services in an adequate manner and to match the suitable candidate with one or more vacancies.
More specifically, we process your data for the purpose of:
Recruiting new employees;
Information about our professional and social activities, or any other topic that may interest you;
Sending our newsletters and/or open vacancies;
Being able to contact you if this is necessary to carry out our services;
For the further execution of agreements;
Informing you about changes to our services and products;
To be able to offer you our service;
Handling your payment;

The legal basis for processing the personal data is: Processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract (Article 6.1.b) GDPR).
We obtain this personal data directly from the data subject.
We retain your personal data for as long as required to comply with our legal obligations, to provide our services properly or because we have a legitimate interest in retaining your personal data (longer).
Where applicable, we share this personal data with the suitable candidates for the vacancy you have posted, or with the party that posted the vacancy for which you are the suitable candidate.
In addition, third parties with whom we work for the storage and management of our data also have access to this personal data (IT providers). A list of these third parties with whom we work is available upon simple written request.
Internal organization and self-management B2B management For the purpose of B2B management, we may process your personal identification data (name, (company) address, email address, telephone number), financial data (bank account number, method of payment), personal characteristics (gender, language) and any other information you provide in the context of the cooperation (e.g. information about profession and employment).
This data allows us to conclude agreements with suppliers/business partners, including comparing suppliers, requesting quotes and conducting pre-contractual negotiations, communicating with suppliers, managing placed orders and organizing payment.

With regard to private suppliers or business partners: the conclusion and execution of a contract (Article 6, §1, (b) GDPR)
With regard to professional suppliers or business partners: a legitimate interest to organize our B2B management (Article 6, §1, (f) GDPR).
We obtain this personal data directly from the data subject and/or via a third party.
For our B2B management, we retain your personal data for as long as required to comply with our legal obligations, to provide our services properly or because we have a legitimate interest in retaining your personal data (longer).
Where applicable, we share this personal data with government departments, banks and insurance companies, accountants and auditors, and external legal advisers. In addition, third parties with whom we work for the storage and management of our data also have access to this personal data (IT providers). A list of these third parties with whom we work is available upon simple written request.
Invoicing and accounting For the purpose of invoicing and our accounting obligations, we may process your personal identification data (name, (company) address, email address, telephone number, CBE number), financial data (bank account number, method of payment) and services rendered.
This data allows us to draw up our invoices, keep our accounts and comply with accounting obligations, including drawing up annual accounts.
The legal basis for processing the personal data is based on various legal obligations, such as those contained in the Code of Economic Law (Art. I.1 WER, Art. III.82 WER, Art. III.89 WER and Art. III.90 WER), the Royal Decree WVV (double entry bookkeeping), the Code of Companies and Associations (Art. 3:1 WVV) and the Income Tax Code (Art. 320 WIB) (Article 6, §1, (c) GDPR).

For our invoicing and accounting purposes, we retain your personal data for as long as required to comply with our legal obligations, to provide our services properly or because we have a legitimate interest in retaining your personal data (longer).
We share this personal data with our accounting firm, government departments, social security institutions, and banking and insurance companies. In addition, third parties with whom we work for the storage and management of our data also have access to this personal data (IT providers). Communication and marketing In the context of our website, we may process your personal identification data (name, (company) address, email address), contact request and electronic identification data (IP address and cookies).
This data allows us to optimize our website, display online advertisements, respond to your contact request, etc.
The legal basis for processing the personal data is based on the legitimate interest to offer a well-functioning and user-friendly website and to promote our products and services (Article 6, §1, (f) GDPR). Telephone calls In the context of our service provision, telephone calls you have with Expand may be recorded. This is done for the purpose of quality monitoring of our services, internal training of our employees and, where necessary, proof.
The legal basis for this processing is our legitimate interest to monitor and improve the quality of our service (Article 6, §1, (f) GDPR). These recordings are kept no longer than necessary for these purposes and only shared with the employees involved and, if applicable, our IT providers for storage. If you do not wish a call to be recorded, you can always inform us of this at the start of the call.
Who has access to your data?
Expand uses a third party (or parties) for certain processes such as the management (hosting) of the website and accounting. The office has a processing agreement for this purpose with the party that has access to your personal data in light of the services provided by the third party.
We do not make personal data available / do not transfer personal data to other parties, unless legally required, ordered by a court or necessary for the execution of our agreement.
How long is your personal data kept?
Expand does not keep your personal data longer than is strictly necessary to achieve the goals for which your data is collected as well as within the framework of the accounting retention obligation.

We respect all rights regarding your personal data to which you are entitled under applicable law.
To ensure that the request for access has been made by you, we ask you to send a copy of your identity document with the request. In this copy, make your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and National Register number black. This is to protect your privacy. We will respond to your request as quickly as possible, and in accordance with the applicable deadlines. Expand would also like to point out that you have the option of submitting a complaint to the national supervisory authority, the Privacy Commission.
How is your data secured?
Expand takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification.
More specifically, Expand has developed security measures adapted on a technical and organizational level to avoid the destruction, loss, falsification, modification, unauthorized access or accidental notification to third parties of personal data collected as well as any other unauthorized processing of this data.
We have made the necessary contractual agreements with the third parties we work with and do not transfer your personal data outside the European Economic Area without the guarantee that your data also enjoys an equivalent level of protection there.
